Workflows let you build “when this happens, do that” automations between Kallabot and the other apps your business uses: Slack, Gmail, HubSpot, Salesforce, Google Sheets, Airtable and hundreds more. For example:
  • When a call is booked, post it to your team’s Slack channel.
  • When a new lead comes in on WhatsApp, add it to your CRM.
  • When a call ends, email the summary to the branch manager.

Open the builder

Go to Workflows in the app and open the Builder. It opens right inside Kallabot, already signed in. (It runs at workflows.kallabot.com.) The builder is based on Activepieces, an open-source automation tool. Each workflow is a trigger (what starts it) followed by steps (what it does).

Start workflows from Kallabot events

The simplest way to start a workflow when something happens in Kallabot is a webhook:
1

Create the workflow

In the builder, create a new flow and choose the Webhook trigger. Copy the address it gives you.
2

Point a Kallabot webhook at it

In Kallabot, go to Settings → For developers → Webhooks, add an endpoint with that address, and choose the events, like call.analyzed or conversation.message.received. See Webhooks.
3

Send a test

Click Send test in Kallabot. The test event appears in the builder, so you can pick its fields (like the caller’s number or the summary) in later steps.
4

Add your steps and publish

Add what should happen, like “Send a Slack message”, and switch the flow on.

WhatsApp flows

Under Workflows → WhatsApp you’ll find your WhatsApp flows: step-by-step forms that open inside a WhatsApp chat, for bookings or sign-ups. Your agent can use them in conversations. See WhatsApp.
